A consumer wellness app preparing to launch to a waitlist needed a fully automated onboarding system โ one that could handle signups, send state-aware confirmation emails, segment users based on their check-in inputs, and follow up without anyone manually touching a single message. It needed to feel personal. It needed to work at any volume. And it needed to be live before the waitlist opened.
Challenge
The product is built around a nuanced check-in experience โ users report their nervous system state across two axes, and the app recommends protocols based on where they land. Generic onboarding emails wouldn't cut it. Messages needed to reflect what the user actually input, in language that matched the product's voice.
The founder didn't have ops bandwidth to manage a manual email workflow. With a waitlist that could scale quickly from marketing, the onboarding system needed to work without anyone touching it โ at 10 signups or 10,000.
Solution
We built an onboarding agent wired directly into the app's Supabase backend. Every new waitlist signup triggers a state-aware confirmation email โ dynamically generated based on the user's check-in data, sent from the brand's domain within under a second of signup. The email looks like it was written for that person specifically, because it was.
Follow-up sequences run on a schedule: a deeper introduction to the product's approach at day 3, a protocol preview at day 7, and a re-engagement prompt at day 14 for users who haven't opened anything. All sequences are triggered automatically. The founder gets a weekly summary of waitlist growth, open rates, and engagement by segment.
